Mail List Processor and Excel Specialist

Position Summary

While working as a Mail List Processor and Excel Specialist you will be tasked with fulfilling orders and performing tasks related to preparing customer orders for departure. You will maintain records of all jobs processed, schedule work according to production needs, maintain an inventory of supplies, and keep track of jobs in the computer system. Also, you will process mailing lists using specialized software, keep detailed documentation of all orders, compute quotes, and communicate with customers and coworkers to ensure customer satisfaction. Additionally, you are responsible for preparing outgoing mail, providing support, scheduling and managing a busy mail production schedule, and training associates on postal regulations and equipment usage. The person in this position assists with performing the operational functions of the department, meeting both quality and quantity requirements.

Essential Duties and Responsibilities

  • Manage, supervise, or perform a variety of tasks that include:
    • Sorting and classifying all outgoing mail according to postal regulations
    • Preparing packages for shipment according to postal regulations
    • Preparing, classifying, rating, and recording information and recharges on outgoing mail
    • Controlling the quality of prints and materials
    • Packaging envelopes, labeling cartons, and stamping or labeling the cartons
    • Checking items to ensure that addresses are legible, that sufficient postage has been paid or the appropriate documentation is attached, and that items are in a suitable condition for processing
    • Sorting odd-sized mail by hand and segregating items requiring special handling
    • Checking files for conformity to supplied layouts, and mailpiece for conformity to postal regulations
    • Bundling, labeling, and routing sorted mail to designated areas depending on destinations and according to established postal procedures and deadlines
    • Maintaining all bulk-mail and permit accounts with the Post Office
    • Operating office equipment (copier, fax machine, letter opener, etc.)
    • Determining manner in which mail is to be sent, and preparing it for delivery to mailing facilities
    • Operating and troubleshooting mailing equipment such as inserters, inkjet printers, and folders
  • Communicate with supervisors, peers, or subordinates to receive feedback
  • Communicate with drivers as to when jobs are ready to be delivered to the Post Office
  • Communicate regularly with post offices, either over the phone or through email
  • Coordinate with managers to meet deadlines and plan for new projects
  • Answer any postal-related questions that the sales department or potential customers have
  • Enter information into the computer system in order to keep track of jobs

Nonessential Duties and Responsibilities

  • Coordinate with other members in mailing and assist them where needed
  • Work on job assignments in other departments as instructed

Education and/or Experience

High school diploma or general education degree (GED), previous experience is a plus, but not required

Language Skills

Ability to read and interpret important documents, especially work orders

Ability to speak effectively with co-workers, customers, and managers

Mathematical Skills

Ability to add and subtract numbers and to multiply and divide with 10's and 100's

Ability to calculate postage amounts and quickly give postage estimates

Reasoning Ability

Ability to understand and carry out instructions furnished in written or oral form

Computer Skills

Performing this job successfully requires that an individual have a solid understanding of computers and data entry. Experience with Microsoft Office, especially Excel, is required

  • The ability to concentrate on a task over a period of time without being distracted.
  • Vision abilities required by this job include being able to see clearly at 20 inches or less, distinguish colors, and adjust focus.

Physical Demands and Work Environment

  • Physical demands
    • While performing the duties of this job, one is regularly required to stand and use hands to handle letters, envelopes, and packages, and operate controls. Additionally, reaching with hands and arms is regularly required. Talking and listening is crucial as well. The associate is regularly required to walk, stoop, and bend over. The associate must occasionally lift and /or move up to 50 pounds. 
  • Work environment
    • While performing the duties of this job, the associate is regularly exposed to moving mechanical parts. Additionally, the noise level in the work environment is loud and usually consists of machinery, computers, printers, and presses operating.
