Position Summary

While working as an executive assistant, you will be tasked with providing assistance to the President & CEO with regard to all matters of administration. The person in this position assists with performing the operational functions of the department, ensuring that administration procedures are followed and that all executives are assisted where needed.

Essential Duties and Responsibilities:

  • Complete errands and assignments for the President & CEO
  • Schedule client meetings, calls and appointments for President & CEO, Human Resources and Finance
  • Take messages for the President & CEO and deflect unwanted calls
  • Arrange travel for employees and guests of the company
  • Assist President & CEO with financial tasks, such as check reviews and reconciliations
  • Process incoming mail for all locations
  • Organize leadership agenda items and take minutes of Executive Leadership Meetings
  • Assist with company recognition programs, including peer recognition, gift card exchange, and support of Stollar Store
  • Arrange catering, signage and reservations for company events
  • Manage the data entry process of the timekeeping system, employee attendance, personal time off, and schedule changes
  • Prepare reports for management regarding overtime, expenses, and employees
  • Celebrate and recognize employee life events
  • Manage internal gift and sympathy program for clients and employees
  • Assist new hires by leading orientation meetings
  • Report indirectly to Human Resources and Finance by responding to inquiries regarding policies, procedures, and programs
  • Order and maintain supplies, and arrange for equipment and building maintenance, work with Human Resources and Finance to negotiate service contracts as needed
